We started Athletic Business Systems, Inc. in 2007 to share our copyrighted accounting information system.  The Shadow System © was created by me after about ten years of recreating financial data each time our external auditor would perform the NCAA Audit.  The trouble was not with the data but the accounting system.  A great deal of data had to be reclassified in order to fit into the sections of the data submission and it took a great deal of time.

The Shadow System © is both a data mining and spreadsheet solution.  The NCAA Audit of Agreed-Upon Procedures is not a true independent audit (when you tell someone what to look at you lose that independence!) but rather a review of a specific set of data by someone outside the organization. 

I like to think of the 36 NCAA Agreed-Upon Procedures as the open-book test and my creation of an Audit Prep Guide © the book with the answer key.

You will be amazed how much time you will save during the audit when you have everything in one place.  I used to spend days printing and pulling during the audit.  I was essentially closed for business and fell behind in my day to day responsibilities.  With the Audit Prep Guide © I only spend a few hours a day with the auditor while they find most of what they need all in one easy to navigate place.  By taking time in advance, when I can schedule preparation to fit into my schedule, I save about 5 hours a day during the audit and my audit takes about one less day than allocated by the audit team.  That is a saving of at least 15-20 hours!  I know it is cliché, but time IS money.  Best of all, by using the Audit Prep Guide © my data is consistent and can be easily compared to prior years.  I was prepared to analyze my prior year’s data to effectively project our needs during the current fiscal climate!
